Equipment Datasheet Template (Excel)

Free equipment datasheet templates for centrifugal pumps, pressure vessels, and heat exchangers. Standard columns per ASME Section VIII, API 610, API 660, and TEMA formats. Or let Pathnovo auto-fill from your process data in 48 hours.

In short

An equipment datasheet is the one-document-per-tag specification for a major equipment item (pump, pressure vessel, heat exchanger, compressor, tank). It captures process design data (fluid, flow, pressure, temperature, viscosity), mechanical design data (design conditions, materials, code per ASME Section VIII / API 610 / API 660 / TEMA, NDE, PWHT), nozzle schedule, driver data, and vendor scope. Get the Excel template, or Pathnovo auto-fills it from your process data in 48 hours.

Frequently Asked Questions

What is an equipment datasheet?

An equipment datasheet is a structured one-document-per-tag specification for a major equipment item: centrifugal or positive displacement pump, pressure vessel, shell-and-tube or air-cooled heat exchanger, compressor, atmospheric or low-pressure storage tank. It captures process design data (fluid, flow, pressure, temperature, viscosity), mechanical design data (design pressure, temperature, materials, corrosion allowance, applicable code, NDE and PWHT), nozzle schedule, driver data, vendor scope, inspection and testing. It is the document vendors quote against during RFQ and the document inspectors witness against during shop inspection.

What codes apply to which equipment datasheets?

ASME Section VIII Div 1 (most pressure vessels) or Div 2 (higher-pressure, fatigue-critical vessels) per ASME B&PV apply to pressure vessels. API 610 (Centrifugal Pumps for Petroleum, Petrochemical, and Natural Gas Industries) applies to refinery and petrochemical pumps. API 660 (Shell-and-Tube Heat Exchangers) and TEMA Class R / C / B apply to heat exchangers. API 650 covers atmospheric storage tanks, API 620 covers low-pressure tanks. API 619 and API 617 cover positive displacement and centrifugal compressors. The datasheet Code column drives vendor scope, inspection responsibilities, and ITP development. See the ASME Section VIII reference.

How does Pathnovo auto-fill equipment datasheets?

Pathnovo, an engineering document intelligence platform, populates equipment datasheets by extracting process design data from the equipment list and PFD, then cross-referencing the piping line list for nozzle sizes and ratings, the SLD for driver data, and the piping material spec for materials. Mechanical design conditions are derived per project basis of design (design pressure typically 110% of operating, design temperature per maximum operating plus margin per ASME). Output is configurable to your EPC datasheet format. See the datasheet extraction workflow.

How is an equipment datasheet different from the equipment list?

The equipment list is a one-row-per-tag register summarising every equipment item on the project. The equipment datasheet is a one-document-per-tag deep specification covering full process and mechanical design data, materials, nozzle schedule, vendor scope, and inspection requirements. The list points at the datasheets via the Datasheet Reference column. The list is issued at IFA in FEED for procurement planning, datasheets are issued at IFC during detailed engineering for vendor RFQ. See the equipment list template.

What process data do I need before issuing the datasheet?

Before issuing the datasheet, the process team needs to lock: fluid identity and composition, operating cases (normal, minimum, maximum, startup, shutdown, upset), flow rate per case, suction and discharge pressure (or shell and tube side for exchangers), operating temperature per case, specific gravity, viscosity, vapour pressure for pumps to confirm NPSH-available, fouling factor for exchangers per TEMA RGP-T-2. These come from the heat and material balance and the simulation runs. The Process Data block of the datasheet must be locked before mechanical design data is added.

How does the datasheet feed procurement and ITP?

The datasheet feeds the Material Requisition (MR) package directly: the MR Scope section is built from the datasheet process and mechanical design data, the MR Documents section references the datasheet as the primary specification, the Inspection and Test Plan (ITP) is developed from the datasheet code and NDE requirements. Vendor bids are evaluated against the datasheet parameter by parameter in the Technical Bid Evaluation (TBE). See the material requisition template and the TBE compliance matrix template.

Are vendor datasheets the same as the EPC datasheet?

No. The EPC datasheet states the requirement (what the EPC needs the equipment to do). The vendor datasheet states the offer (what the vendor proposes to supply). After purchase order, the vendor datasheet is reviewed and approved by the EPC and becomes the certified vendor datasheet that drives fabrication, inspection, and as-built records. Pathnovo automates the EPC-vs-vendor datasheet compliance check parameter by parameter. See the vendor datasheet compliance workflow.
